At Sum, we are committed to protecting your privacy.

 

We have prepared this privacy policy to make you fully aware of your rights whilst visiting or interacting with us at Sum. If you are in need of any further information, or if you have any concerns as to how we process personal data, please contact us and a member of the Sum team will be more than happy to help you.  

In this policy, we will go into detail on the collection and use of your personal information, when that information is collected, and on the limited occasions when we may disclose it to others. All the while keeping your info safe and secure.

When does Sum collect information?

Like pretty much every website you have ever visited, we use cookies.
Cookies are tiny crumbs of data that help track your experience and maintain the preferences you create for any given site. We use them to better develop our site for your experience.

We use this information to process enquiries or submissions through the shortlisting process and, where applicable, to publication. None of this information contains any of your personal data and it cannot be used to further gain any of your personal information.

When interacting with us - making a submission, contacting us with general enquiries, or by simply joining a mailing list - we will ask for certain information in order to process your request accordingly.

 

This personal information will be collected and stored, but will only be used on an ongoing basis subject to our legitimate interests or your giving consent for its use.

 

How is personal information used?

 

Only the information that you offer us voluntarily will be processed and stored for the use of this site. We are not in the racket of selling, renting, or trading your information with third party companies for their marketing purposes. We are not fans of that kind of backdoor mischief ourselves, so why subject you to it.

  • Processing and responding to submissions

  • Keeping a record of all interactions in case of complaint or enquiry.

  • Improve our the functionality of our website, our communication processes, and general administration at Sum.

 

Who has access to your personal information?

 

Any personal information that you offer us voluntarily is all held according to UK and EU Data Protection regulations. Your information will only be used by those who need access to provide you with the appropriate services. The staff here at Sum are all trained in the protection of your information.

 

Association with Third Parties

 

There are some circumstances where we will need to share your personal information, or have help in processing it, with third party affiliations. See more under “Contractors/Partners”.

We will only ever share your information without your permission if required to do so by legal or regulatory bodies. This would be very rare.

For activities that cannot be performed in house by members of the Sum staff, we use digital services from some third party affiliates to help manage our services (i.e. Email providers, Wix mailing lists, Google Forms for submissions).

 

We only do so for business purposes, to keep Sum running smoothly and effectively. These services are mostly down to web hosting, communications and evaluating our efficiency.

Sum take care in working with third party affiliates to make sure that the those we engage with practice the same levels of integrity and business ethics as we do. Some of the third party contractors we use run their operations from outside the European Economic Area (EEA).

 

Although these companies may not be subject to the same data protection laws as companies based in the UK, Sum have taken steps in ensuring that adequate levels of data protection are provided in accordance with UK Data Protection law under GDPR.

When submitting your personal information voluntarily, you are agreeing to the potential transfering, storing, and/or processing of information at locations outside of the EEA. In this case, Sum remain the “Data Holders” of the information for protection, and third parties act as “Data Processors”.

Sum’s website may contain links to external sites. You should be aware that once you click those links and leave our site, you have left the protection we offer you. We do not control those other sites and they have their own privacy policies to adhere to.
We cannot be responsible for the protection and privacy of any information which you provide whilst visiting external sites, and such sites are not governed by this policy.


 

Retaining your data

 

Submissions

When you submit a piece of work to us for consideration for the journal, we will hold your submission on record for up to 3 months after the release of the Issue in question if we chose not to publish your work. All the additional information you provide with your submission, such as contact details, will be retained for up to 7 years after your submission.

 

If your work is included in our journal, we reserve the right to publically showcase your work, and its associated assets (i.e. imagery, title, bio, author’s name) indefinitely or whilst we remain in situ. Copyright however is retained by the author at all times. We will only publish information following clear consent from you to do so.


 

Your Rights


 

Access to your Personal Information

 

You have the right to request a copy of any of the information we hold about you. If any of this information is incorrect, and you wish to correct it, please inform us and we will do so. You can also withdraw your permission for us to process your personal information.


We will act on this request unless we need to keep such information for legal reasons, auditing, or for using our site.

There is no charge for accessing any of these rights, and we have an obligation to respond within 30 days of the enquiry. Contact us at any time and a member of the Sum team will be available to help you.

 

Opt Out

 

If you have signed up to one of our mailing lists or have sent Sum any form of correspondence, you can simply opt out of any further exchange by simply contacting us at any time and letting us know. You also have the right to have your personal information removed from our systems.

By interacting with the Sum Journal site or interacting with any of our services, you are accepting the terms of this privacy policy. If there is any reason you do not agree with the content of this policy, please do not use this site.

 

We reserve the right to update and make changes to this policy. If you continue to use the site after such changes are made this will be seen as your acceptance to those changes.



What else should I be aware of when it comes to my privacy?

 

You should note that disclosing personal information in an online public area, such as any social media platforms, that information could be collected and used by other parties. If you voluntarily offer personal information on our Facebook, Instagram, or Twitter accounts, or any public space online that Sum Journal happen to be associated with, you must do so cautiously and at your own risk.

 

This privacy policy does not cover the information disclosed on any other site than this one.
